Any cancellation by you must be initiated by email to info@lvivbuddy.com. We will acknowledge your cancellation by email.
In certain cases you may be eligible to receive a full or partial refund depending upon:
- the reason for your cancellation or
- the number days of prior to the start of your tour cancellation request is received or
- the amount expended by the individual guide to prepare for your tour or
- the tour type and cancellation policy option you choose
- Lviv Buddy is not responsible for any incidental expenses you may have incurred as a result of the purchase of your tour such as visas, vaccinations, non-refundable flights or loss of enjoyment, etc.

Standard Tour Cancellation Policy
If you cancel or cannot take your tour as a consequence of force majeure, Ukraine Buddy will credit the amount you have paid for your refundable tour to a limit 1000 Euro or the equal amount of it in Ukrainian Hrivnia (UAH) at the time of cancellation. If you have paid more than 1000 Euro for your tour, Ukraine Buddy will credit the amount you have paid less any non-recoverable out-of-pocket costs Ukraine Buddy has incurred on your behalf – car rentals, train tickets, admissions, hotel reservations, tickets etc. We may require you to provide verification to confirm that you were unable to take your tour if you request a credit under this provision.
The credit will be noted in our internal system and is valid for all Ukraine Buddy products for future bookings. If you want to prevent a loss of funds, please refer to the section Cancellation Insurance and book one of our Premium Tours to be refunded 90% of your deposit.
Force Majeure
Force Majeure includes impersonal events such as war, civil insurrection, strikes, volcanoes, extreme weather, earthquake or natural disaster that makes it dangerous or impossible to safely undertake the tour. The determination of what constitutes ‘Force Majeure’ is at the discretion of Ukraine Buddy LLC. However, a travel warning issued by the government of your country that is not in conflict with the country of Ukraine AFTER you book your tour invokes ‘force majeure’ or if you are on a ship or plane and it is unable to dock or land for whatever reason, you are covered under this ‘Force Majeure’ provision.
Cancellation Penalties
For cancellation due to any other reasons (such as illness, change of personal circumstances), the date on which the request to cancel is received by Ukraine Buddy will determine how much we will credit to you due as follows:
If you cancel 60 days or more before the start of the tour: No cancellation fee. We will credit the amount paid less any non-recoverable upfront costs incurred by Ukraine Buddy on your behalf. These upfront costs represent out of pocket expenses for tickets, transportation deposits, hotel reservations and other non-recoverable tour expenses. Please send a message to Ukraine Buddy to find out what, if any, these costs are.
If you cancel 59 to 30 days before the start of the tour we charge a 25% cancellation fee. If you have paid for your tour in full, we will issue a credit of 75%. This only applies to the tour price minus expenses paid for by Ukraine Buddy, such as reservation costs, ticket prices etc. If you paid only a deposit we will credit only the amount paid in excess of 25% of the tour price.
If you cancel 29 to 15 days before the start of the tour we charge a 35% cancellation fee. If you have paid for your tour in full, we will issue a credit of 65%. This only applies to the tour price minus expenses paid for by Ukraine Buddy, such as reservation costs, ticket prices etc. If you paid only a deposit we will credit only the amount paid in excess of 35% of the tour price.
If you cancel 14 to 8 days before the start of the tour we charge a 50% cancellation fee. If you have paid for your tour in full, we will issue a credit of 50%. This only applies to the tour price minus expenses paid for by Ukraine Buddy, such as reservation costs, ticket prices etc. If you paid only a deposit we will credit only the amount paid in excess of 50% of the tour price.
If you cancel less than 7 days before the start of the tour we charge a 75% cancellation fee. If you have paid for your tour in full, we will issue a credit of 25%. This only applies to the tour price minus expenses paid for by Ukraine Buddy, such as reservation costs, ticket prices etc. If you paid only a deposit we will credit only the amount paid in excess of 75% of the tour price.
If you cancel less than 24 hour or do a No Show (If you don’t show up to the tour): 100% cancellation fee.
Cancellation Insurance
If you wish to protect yourself from the loss of your tour deposit, you may want to consider booking our Cancellation Insurance. This service we grant to our customers who are not sure whether they will be able to make it to their tour due to health issues or similar. Our Cancellation Insurance can protect you also if you have job responsibilities that could result in cancellations. The cancellation insurance costs 10% of the total tour price. If the tour price is 59 Euro, the Cancellation Insurance costs 5,90 Euro.
To add our Cancellation Insurance, you can book our Lviv Buddy Premium Tour Packages that apart from many other advantages include also the Cancellation Insurance. You can select the Premium Package with any tour bookings.
If you have prepaid for a Premium Tour, you will be refunded the difference between the price of our Cancellation Insurance and your Premium Tour deposit.
Weather
In some cases, Ukraine Buddy may cancel a tour due to weather or other circumstances. In the event that Ukraine Buddy cancels the tour, you may choose between a rescheduling of the tour OR a credit towards an alternative tour. The difference to the cost of the alternative tour can be kept as a credit but is non-refundable.
Changes to the itinerary
It can happen that your plans change or that you just would like to upgrade or downgrade the trip. We like to react to our customers wishes as much as possible and will try to arrange everything.If you want to upgrade your tour, we will try to match your wishes. You will then have to pay the difference though.
Changes to the itinerary from your side
We will try to meet your suggested changes to the tour plan or itinerary after the first prepayment or deposit has been made. However, due to the fact that we keep availabilities and keep our guides for the itinerary you first requested and that we agreed on, you will need to pay at least the amount that you had agreed to in the first itinerary and that you made a deposit for. If you downgrade your trip, we will still charge you with the original sum that was set in the agreement. That means if your original tour would have cost 1800 USD and you decided to downgrade the trip to a lesser amount, you will still be charged 1800 USD.
If you want to upgrade your tour, we will try to match your wishes. You will then have to pay the difference though.
Changes to the itinerary from our side
If for some reason we will need to change the itinerary for your trip, we will update you as soon as possible about such changes. In this case you are eligible to a refund for the particular activity. The rest of the tour will not be affected by the change of parts of the tour.
If you requested a third party activity to be part of the tour and the third party is closed, cancels or changes the program, you are eligible for an alternative activity with us.
Changes due to a force majeure
In some cases, Ukraine Buddy may alternate the tour due to weather or other circumstances. In the event that Ukraine Buddy alternates the tour, you may accept the changes. If you choose not to accept the changes, the paid deposit can be used as tour credit for other activities with Ukraine Buddy. If you choose to accept a credit, the difference in the cost of the alternative tour will remain as a credit for other activities with Ukraine Buddy or if the deposit was lower than the other tour, will have to be paid by you as applicable.
